New Practice Wizard

 

HINT:   Before adding a new practice, you can save yourself some time later if you already have one practice entered. Some of the information from one practice may be the same as in the new practice. For instance, the list of insurance carriers and the list of referring providers. You can have Aeris use these lists from your original practice by copying the appropriate data files from the numbered practice folder to the folder named "Default" immediately below the global data folder. In our example, copy the Carrier.tps and Physician.tps files from the numbered folder to the Default folder.

 

 

The new practice wizard guides you through several screens to help you set up your new practice. Only the first of these screens has more than one entry or selection.

 

 

Enter the name, address, and telephone number of your new practice. All of the entries and choices you make in the wizard can be changed later if necessary by going to the Practice Preferences (Setup > Practice Preferences).

 

When you click Next, it should be no surprise that you get the next screen.

 

 

Aeris keeps track of patient and insurance amounts separately so it is important for you to assign the relative amounts correctly. If the patient has insurance and you have entered a copayment for a patient, the copayment amount will be used as the patient's responsibility on new services with the balance of the service assigned to insurance. If no copayment can be found, the program need you to tell it how to assign the service fee between the patient and insurance. On the screen above, indicate whether you want the service fee to be 100% to the patient, 100% to insurance, or leave it blank and let you do it manually each time.

In practices with multiple providers, it is possible that a patient will have a service with a provider who is not their principle provider. When an insurance payment is applied to that service, Aeris needs you to decide whether the income from that payment will be applied to the provider of the service or the patient's principle provider.

Patient IDs are unique numbers assigned to each patient. Unless you let Aeris assign the ID for new patients, you are responsible for making sure they are never duplicated.

 

WARNING!   A numbering scheme that attempts to use meaningful information in the patient ID is likely to have problems sometime in the future. If the ID is based on the patient's last name, it will be a problem if the patient's last name changes. If it based on a program in which they are participating, that too can change. You will be best served by letting Aeris assign IDs consecutively.

 

Pressing Next to continue, displays the last option screen.

 

 

If you are seeing patients over and over for the same procedure, checking this box tells Aeris to remember some of the information from a service you enter and fill in those entries for you automatically next time you add a service. You can still change them as needed but this can save time when doing data entry.

 

When you press the Next button you get one more screen but this is information only and tells you what you have left to do in the new practice.
